This policy covers personal data collected by Ziyut Al Adaa, Official and Exclusive distributor of Cyclon lubricants in Iraq and the Kurdistan Region, with its head office in Erbil and branches in Baghdad, Erbil and Suleymania. Ziyut Al Adaa acts as the data controller for the data described here.
CYCLON is a trademark of LPC S.A., Greece. Where a technical enquiry requires the involvement of the manufacturer, data may be shared with LPC S.A. as described in section 6.
We process personal data lawfully, fairly and transparently. We collect only what we need for a clearly defined purpose, we keep it accurate, we retain it no longer than necessary and we protect it with appropriate technical and organisational measures.
When you complete the contact form we collect your first name, last name, company, email address, country, telephone number, the product areas you indicate an interest in, the description of your role, and the content of your message.
When you contact us by email, telephone or WhatsApp we collect the contact details you use and the content of the exchange.
When you browse the website we collect technical data through cookies and similar technologies, including IP address in truncated form, browser and device type, operating system, referring page, pages viewed and time spent. This data is used in aggregate and does not identify you by name.
We do not collect payment card details through this website and we do not process special categories of personal data such as health, religious or political information.
We process your data to respond to your enquiry and provide product and technical advice; to arrange supply, pricing and delivery through the appropriate branch; to maintain the commercial relationship between your organisation and ours; to send you commercial information about Cyclon products where you have asked for it; to improve the website and understand which content is useful; and to comply with legal, tax and regulatory obligations.
The legal bases we rely on are the performance of a contract or steps taken at your request before entering a contract; our legitimate interest in operating and developing our distribution business; your consent, where consent is the appropriate basis such as for marketing communications and non-essential cookies; and compliance with a legal obligation.

Access to your data inside Ziyut Al Adaa is limited to the commercial, technical and administrative staff who need it to handle your enquiry.
Data may be shared with LPC S.A. where the manufacturer needs to support a technical question, a warranty matter or an approval; with our hosting and email service providers, who process data on our instructions; with analytics providers as described in section 11; and with public authorities where disclosure is required by law.
We do not sell personal data and we do not disclose it to third parties for their own marketing purposes.
This website is served over an encrypted connection. Access to systems holding enquiry data is restricted by individual accounts and passwords, and administrative access is limited to named personnel. Our contact form is protected against automated abuse.
No transmission over the internet can be guaranteed to be completely secure. If a personal data breach occurs that is likely to result in a risk to your rights, we will notify the competent authority and, where required, the individuals affected, without undue delay.
Enquiry data is retained for twenty four months from our last contact with you, unless a commercial relationship begins, in which case it is retained for the duration of that relationship and for the period afterwards required by applicable commercial and tax law. Marketing consents are retained until you withdraw them. Analytics data is retained in aggregate form according to the settings of the analytics provider.
You have the right to ask what personal data we hold about you and to receive a copy of it; to have inaccurate data corrected; to ask for your data to be deleted where we have no continuing lawful reason to keep it; to ask us to restrict processing while a question about your data is resolved; to object to processing carried out on the basis of our legitimate interest; to receive data you have given us in a portable format; and to withdraw consent at any time.
